Purchase Executive

• Purchase Orders & Follow-up
• Raise and track purchase orders (PO) and order forms with clear specifications; maintain the re-order criteria and order form format.
• Ensure timely delivery and complete documentation (invoice, challan, weight statement, certificates).
• Follow up on pending orders and delayed deliveries.

Vendors & Artisans

• Coordinate daily with vendors, manufacturers and artisans on design, quality, weight and delivery.
• Find and develop new vendors; check their quality, reliability and pricing before approval.

Pricing & Negotiation

• Compare quotations and negotiate the best price, making charges and payment terms.
• Give purchase pricing/cost details to the sales team on time.

Stock Planning

• Monitor stock levels, and set and maintain minimum stock levels for each category/design.
• Plan pre-orders for festivals, wedding season and new collections based on sales trends.

Reporting

• Prepare purchase MIS and pending PO reports for management.
• Coordinate with Inventory and Accounts on receipts, returns and vendor payments.

JEWELLERY INDUSTRY-SPECIFIC EXPECTATIONS

• Negotiate on gold rate, making charges, wastage %, stone/diamond rates and labour – and record agreed terms in writing.
• Check received goods for purity, gross/net weight, stone quality and design match before accepting; report differences immediately.
• Ensure hallmarked jewellery carries valid BIS hallmark/HUID and diamond jewellery has the required certification (e.g. IGI) where applicable.
• Manage metal/diamond issued to karigars on job work – track issue, receipt, wastage and pending balance.
• Follow ethical sourcing and legal compliance (valid GST invoice, KYC of vendors) and keep confidential all pricing and design information.

REQUIREMENTS

Qualification

• Graduate (Commerce preferred)

Skills

• Good negotiation and vendor-management skills
• Working knowledge of purchase/ERP software and Excel
• Understanding of gold, diamond and jewellery pricing
• Strong follow-up, planning and documentation skills

Good to Have

• Jewellery industry purchase experience
• Existing network of jewellery manufacturers / artisans in Surat

• On-time delivery percentage from vendors
• Cost savings achieved through negotiation
• Stock availability vs minimum stock level (no stock-outs on fast-moving designs)
• Number of pending / overdue POs
• New vendors developed and quality rejection rate

Pay: ₹25,000.00 - ₹30,000.00 per month
