Job Overview

We are looking for a proactive and detail-oriented Purchase Executive to manage procurement activities, vendor coordination, price negotiations, purchase orders, and inventory requirements. The candidate will be responsible for ensuring the timely procurement of quality products at competitive prices while maintaining strong vendor relationships and supporting the company's business operations.

Key Responsibilities

1. Procurement & Purchasing

• Identify purchasing requirements based on inventory levels, sales forecasts, and business needs.
• Source products, raw materials, packaging materials, and other business requirements.
• Prepare and process purchase orders (POs) in accordance with company policies.
• Ensure timely procurement to avoid stock shortages and operational delays.
• Compare quotations from multiple vendors to obtain the best pricing and quality.

2. Vendor Management

• Identify, evaluate, and onboard new suppliers and vendors.
• Maintain strong relationships with existing vendors for smooth procurement.
• Negotiate pricing, payment terms, credit periods, and delivery timelines.
• Follow up with vendors for pending orders, dispatches, and delayed deliveries.
• Maintain an updated vendor database with contact details, quotations, and commercial terms.

3. Price Negotiation & Cost Optimization

• Negotiate competitive rates with suppliers to achieve cost savings.
• Conduct market research to identify new suppliers and cost-effective sourcing opportunities.
• Analyze vendor quotations and prepare comparative statements.
• Monitor market price fluctuations and recommend cost-saving alternatives.

4. Purchase Orders & Documentation

• Prepare and maintain purchase orders, quotations, invoices, and delivery challans.
• Ensure purchase documentation is accurate and complete.
• Coordinate with the Finance and Accounts teams for invoice verification and payment processing.
• Maintain proper records of procurement transactions and vendor agreements.

5. Inventory & Coordination

• Coordinate with warehouse and inventory teams to check stock availability and replenishment requirements.
• Track pending purchase orders and ensure timely delivery of goods.
• Monitor inventory levels to minimize overstocking and stock-outs.
• Coordinate with the Quality, Operations, and E-Commerce teams to address product and supply-related issues.
• Ensure received goods match the approved purchase orders and agreed specifications.

6. Reporting & MIS

• Prepare daily, weekly, and monthly purchase reports.
• Track purchase costs, vendor performance, delivery timelines, and cost savings.
• Maintain procurement data in Excel or ERP systems.
• Share regular updates on pending orders, procurement status, and supplier issues with management.

Required Skills & Qualifications

• Bachelor's degree in Commerce, Business Administration, Supply Chain Management, or a related field.
• 2–5 years of experience in purchasing, procurement, or vendor management.
• Strong negotiation, communication, and coordination skills.
• Good knowledge of purchase orders, quotations, invoices, and procurement documentation.
• Proficiency in MS Excel, especially VLOOKUP/XLOOKUP, Pivot Tables, and data analysis.
• Experience working with ERP, inventory management, or procurement software is preferred.
• Strong analytical skills and the ability to manage multiple vendors and purchase requirements.
• Good follow-up skills, attention to detail, and a result-oriented approach.

Preferred Candidate Profile

• Experience in the E-Commerce, D2C, Retail, or Consumer Products industry.
• Knowledge of categories such as electronics, home appliances, beauty, baby care, and pet care will be an advantage.
• Experience in vendor development, price benchmarking, and cost optimization.
• Ability to work in a fast-paced business environment and manage urgent procurement requirements.
