Purchasing Admin

About the role

We are seeking a detail-oriented and organised Purchasing Admin to join our team at VIRTUE TECHNOLOGY SDN BHD. This is a full-time position based in Simpang Ampat, Penang, where you will play a crucial role in supporting our purchasing and procurement operations. As Purchasing Admin, you will be responsible for maintaining efficient purchasing processes, managing inventory coordination, and ensuring seamless communication between suppliers and our internal departments. This role is integral to our supply chain operations and directly contributes to our company's ability to meet production and delivery timelines.

Key responsibilities

1. Processing purchase orders, purchase requisitions and maintaining accurate purchasing documentation
2. Liaising between internal departments (production, operations, finance) and external suppliers to ensure timely procurement
3. Follow up vendor / supplier to provide certificate required.
4. Daily record part return to vendor for rework / remake.
5. Issue drawing Master Copy
6. Register and update part status into Monitor ERP
7. Supporting the procurement team with administrative tasks and special projects as required

What we're looking for

1. Proven experience in purchasing administration, procurement support or a similar administrative role within manufacturing or logistics environments
2. Strong organisational and time management skills with the ability to manage multiple tasks simultaneously
3. Proficiency in Microsoft Office applications, particularly Excel and Word
4. Excellent communication skills, both written and verbal, with the ability to interact professionally with suppliers and internal stakeholders
5. Attention to detail and accuracy in data entry and documentation
6. Knowledge of purchasing procedures, procurement systems and inventory management practices
7. Ability to work independently and as part of a team in a fast-paced environment
8. Basic understanding of supply chain and logistics operations
9. Relevant qualifications in administration, procurement, supply chain or business studies (preferred)
10. Experience with procurement software or enterprise resource planning (ERP) systems (advantageous)
