Purchasing Admin Executive

About the Role
We are seeking Purchasing Admin Executive to join our team at Maxenwave Technology (Malaysia) Sdn. Bhd. in Melaka. In this full-time role, you will be responsible for administrative tasks to support the smooth operation of our growing business.

Job Responsibilities

• Prepare and issue Purchase Orders (PO), Delivery order (DO) and coordinate the incoming and outgoing to ensure accurate and timely deliveries.
• Liaise with suppliers for quotations, price negotiation, product sourcing, stock availability and delivery schedules.
• Monitor stock levels to ensure timely replenishment and avoid shortages.
• Verify invoices, Delivery Orders (DO), purchase documents, and payment-related documents accurately.
• Coordinate closely with warehouse personnel on stock receiving, checking, and documentation.
• Track order status and ensure timely delivery from suppliers.
• Resolve purchasing, delivery, or supply-related issues in a timely and professional manner.
• Prepare reports and assist management with purchasing and inventory updates when required.
• Provide support for daily administrative operations and assist in ensuring smooth office coordination.

Job Requirements

• Minimum Diploma or Bachelor's Degree in Purchasing, Business Administration, Supply Chain Management or a related field. (Candidates with SPM/Certificate and relevant working experience are also encouraged to apply)
• At least 1-2 years of relevant experience in relevant role is preferred.
• Fresh graduates are encouraged to apply.
• Experience using the AutoCount or other ERP system will be an added advantage.
• Strong attention to detail with good organisational and follow-up skills.
• Able to work independently with minimal supervision and also work effectively as part of a team.
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
• Proficient in English and Bahasa Malaysia. Ability to speak and write in Mandarin is an added advantage.
