Purchasing Assistant

About the role

We are seeking a Purchasing Assistant to join YB Woodwork Industry (M) Sdn Bhd in Simpang Renggam, Johor. This is a full-time position that plays a vital role in supporting our procurement operations. As a Purchasing Assistant, you will assist in managing supplier relationships, processing purchase orders, and ensuring the efficient flow of materials and components required for our woodwork manufacturing operations. This role is essential to maintaining our supply chain efficiency and supporting the broader purchasing department in delivering cost-effective solutions.

Key responsibilities

1. Assist in sourcing and identifying suitable suppliers for raw materials, components and equipment required for manufacturing operations
2. Process and coordinate purchase orders, ensuring accuracy in specifications, quantities and delivery schedules
3. Maintain and update supplier databases and procurement records in line with company procedures
4. Monitor inventory levels and alert management to stock shortages or overages as required
5. Liaise with suppliers regarding order status, delivery schedules and pricing negotiations
6. Prepare purchasing documentation, including quotation requests and supplier agreements
7. Assist in coordinating goods receipt and conducting quality checks on incoming materials
8. Support the purchasing team with administrative tasks and report on procurement activities
9. Maintain compliance with company purchasing policies and procedures
10. Contribute to identifying cost-saving opportunities and process improvements within the procurement function

What we're looking for

1. Secondary education qualification or equivalent; post-secondary qualifications in procurement, supply chain or business administration are advantageous
2. Strong organizational and time management skills with the ability to manage multiple tasks simultaneously
3. Excellent communication skills, both written and verbal
4. Proficiency in Microsoft Office applications, particularly Excel and Word
5. Basic understanding of inventory management and procurement processes
6. Attention to detail with the ability to maintain accurate records and documentation
7. Ability to work effectively as part of a team in a fast-paced manufacturing environment
8. Reliable and punctual with a positive attitude towards learning and development
9. Prior experience in procurement, purchasing or inventory management in a manufacturing setting is preferred
10. Familiarity with procurement software or enterprise resource planning (ERP) systems is a plus
