Purchasing Assistant

Job Description & Requirements

We are seeking for a meticulous and resourceful personnel to supports the procurement function by executing purchase orders, tracking deliveries, and maintaining accurate procurement records. Works closely with the Sourcing Specialist to translate sourcing decisions into timely, accurate purchase execution.

Expectations:

• Working closely with Operations Team to understand procurement requirement
• Process purchase orders and follow up with suppliers on confirmations and delivery timelines
• Coordinate with logistics teams to verify goods received and resolve discrepancies
• Maintain accurate procurement records and PO logs in the ERP system
• Support RFQ preparation and quotation comparisons
• Monitor stock levels and flag reorder needs
• Liaise with Finance on invoice/PO reconciliation
• Assist in handling supplier communications and import/export documentation
• Provide general administrative support to the procurement team

Key Requirements & Competencies:

• Diploma in Supply Chain, Business Administration, or related field
• 1–2 years of experience in purchasing, procurement admin, or logistics coordination; entry-level with strong organizational skills may be considered
• Familiarity with ERP/purchasing systems (SAP, Oracle, or similar) and MS Excel
• Detail-oriented with strong follow-up and coordination skills
• Good communication skills for coordinating with suppliers and internal departments across regions.
