Purchasing Assistant

1. Procurement & Sourcing

• Source and evalute suppliers for food, beverage, (Halal certified suppliers).

• Ensure all purchased goods meet required quality and safety standards.

• Request and compare quotations to ensure best value for money.

• Maintain a supplier database with updated price lists, contacts and performance records.

2. Order Management

• Prepare purchased orders and follow up on delivery schedules to ensure timely arrival of goods.

• Monitor stock levels and coordinate with kitchen teams to avoid shortages or overstocking.

• Verify quantity and quality of items received against purchase orders and invoices.

3. Cost Control Budgeting

• Support management in monitoring and analyzing food cost, cost of goods sold (COGS and monthly purchasing reports).

• Identify cost-saving opportunities and propose alternative suppliers or products.

• Ensure purchasing practices align with company cost-control policies.

4. Compliance & Documentation

• Ensure compliance with internal purchasing policies, hygiene standards, and local regulations for Halal ingredients.

• Maintain proper documentation for all purchase-related activities including invoices, contracts, and delivery orders.

6.Negotiate prices, payment terms and delivery terms with suppliers.

Requirement:

• Minimum Professional Certificate / Diploma or Bachelor’s in Business Administration / Management / Business Planning / Finance / Accounting / Supply Chain or related course.
• Minimum 1 – 2 years working experience in purchasing. Excellent analytical, interpersonal, and organizational skills.
• Good basic knowledge and skill in Food Safety and Quality requirement, Good Manufacturing Practice (GMP), Food Security and Hazard Analysis Critical Control Point (HACCP).
• Ability to work both collaboratively and independently.
• Quick learner and forward thinker.
