Purchasing Assistant

About the role

The Purchasing Assistant supports the Buyer in processing purchase orders, following up with suppliers and ensuring timely delivery of production materials and other purchasing requirements. The role works closely with Planning, Warehouse, Production and suppliers to maintain material availability and support daily manufacturing operations.

Key responsibilities

Prepare and issue purchase orders (POs) based on approved purchase requisitions, MRP requirements and purchasing instructions.

Monitor open POs and follow up with suppliers on order confirmation, delivery dates and outstanding quantities.

Expedite deliveries when necessary to support production schedules and customer requirements.

Coordinate changes to PO quantities, delivery dates and specifications as instructed by the Buyer.

Maintain accurate purchasing records, including prices, lead times, minimum order quantities (MOQs), supplier details and delivery commitments.

Assist the Buyer in consolidating purchasing requirements to support bulk purchasing and cost savings.

Communicate with suppliers regarding order status, delivery schedules, material shortages and discrepancies.

Coordinate delivery documents and material receiving arrangements with suppliers and the Warehouse team.

Support supplier performance tracking, including delivery reliability and responsiveness.

Work closely with Planning, Warehouse and Production to identify material shortages and ensure timely material availability.

About you

Diploma or equivalent qualification in Supply Chain Management, Purchasing, Business Administration or a related discipline.

1–3 years of purchasing or procurement experience, preferably in manufacturing, electronics, semiconductor or contract manufacturing.

Experience in purchase order management, supplier follow-up and delivery coordination.

Familiarity with ERP systems or SAP purchasing processes will be an advantage.

Good Microsoft Excel skills and attention to detail.

Good communication, coordination and follow-up skills.

Able to manage multiple tasks and priorities in a fast-paced manufacturing environment.

Proactive, organized, responsible and a good team player.

Willing to work at East Region/Changi North Crescent.
