Purchasing Assistant

We are seeking a proactive, highly organized, and mobile Purchasing Assistant to join our growing procurement team. In this pivotal role, you will provide critical technical and administrative support to the Purchasing Manager.

Your primary focus will be to ensure the seamless flow of materials, equipment, and services needed for our operations. This position requires a candidate with a valid UAE driving license, as a significant portion of the role involves outdoor sourcing, sample collection, and vendor coordination across the emirates.

Key Responsibilities

Outdoor & Technical Sourcing:

• Vendor Sourcing & Visits: Utilize your driving permit to travel between suppliers, factories, and markets to source new materials, verify stock availability, and inspect vendor facilities.
• Sample Collection: Facilitate the rapid collection of material samples (e.g., joinery, MEP parts, finishes) from vendors and deliver them to designers or project sites for approval.
• Emergency Material Collection: Collect urgent or critical small-order items directly from suppliers to prevent site delays.

Administrative & Technical Support:

• PO Processing: Create, process, and track Purchase Orders (POs) and Local Purchase Orders (LPOs) within our system, ensuring accuracy and proper approvals.
• Price Comparison: Send inquiries, obtain quotations, and prepare detailed price comparison sheets (including payment terms and delivery times) for the Purchasing Manager.
• Record Maintenance: Maintain immaculate digital and physical records of supplier information, quotations, invoices, delivery notes, and contracts.

Coordination & Monitoring:

• Delivery Tracking: Rigorously follow up with suppliers to track the status of open orders and ensure items are delivered on time to stores or active project sites.
• Quality & Store Liaison: Liaise with site engineers and warehouse staff to ensure received goods match PO specifications and are in good condition.

Requirements & Qualifications

• Licensing (Essential): Must possess a valid UAE Driving License (Light Vehicle).
• Experience: 2–4 years of procurement, purchasing, or supply chain experience, preferably within the UAE construction, joinery, technical services, or building materials industry.
• Education: High school diploma or GED required. A Bachelor’s degree in Business Administration, Logistics, or a related field is a plus.
• Language Skills: Proficiency in English (written and verbal). Ability to communicate in Arabic is a significant advantage.
• Technical Skills: Advanced knowledge of Microsoft Office (especially Excel for price comparison sheets). Familiarity with purchasing software or ERP systems (e.g., Sage, Navision) is preferred.
