PURCHASING ASSISTANT (INANAM)

Key Responsibilities

1. Purchase Order Processing

   • Prepare and issue Purchase Orders (PO) in accordance with approved requisitions.
   • Ensure accuracy of pricing, quantity, and specifications before submission.

2. Supplier Coordination

   • Liaise with suppliers on quotation, pricing, delivery schedule, and order confirmation.
   • Follow up on delivery status to ensure timely arrival of goods.

3. Quotation & Cost Comparison

   • Source and request quotations from vendors.
   • Prepare price comparison for management review.

4. Inventory & Stock Monitoring

   • Assist in monitoring stock levels.
   • Coordinate with warehouse/production department to avoid stock shortages.

5. Documentation & Filing

   • Maintain proper filing of purchase documents (PO, DO, invoice, quotation).
   • Ensure compliance with company procurement procedures.

6. Data Entry & System Update

   • Update purchasing records in system accurately and timely.
   • Generate purchasing reports when required.

7. Vendor Management Support

   • Assist in vendor evaluation and maintain updated supplier database.
   • Support in negotiation preparation when required.

8. Other Duties

   • Perform any other purchasing-related tasks assigned by management.
