Purchasing clerk

About the role

This role involves managing the complete procurement cycle, from compiling internal material requests and generating purchase orders to tracking shipments and resolving discrepancies. You will work closely with suppliers and warehouse teams to ensure timely delivery and accurate inventory management.

Key responsibilities

• Compile internal material requests, verify order accuracy against requisitions, and generate and issue formal purchase orders to approved vendors
• Track transit statuses and follow up closely with suppliers to guarantee on-time delivery
• Review stock levels regularly to identify shortages or excesses, and coordinate with warehouse teams to reconcile inventory counts
• Respond to vendor inquiries, research new suppliers, and request competitive quotes to evaluate price, delivery terms, and product quality
• Identify and resolve issues when there are mismatches between purchase orders, delivery receipts, and invoices
• Maintain organized physical or digital filing systems for procurement records, contracts, price lists, and payment receipts

About you

• Minimum of SPM, STPM, or a Diploma in Business Administration, Logistics, or Supply Chain Management
• Proficiency in Microsoft Excel for data tracking, pick up internal system by AI.
• Familiarity with auto count software
• Strong negotiation tactics to secure better terms
• Trilingual or bilingual communication skills (English, Malay, or Mandarin)
