Purchasing Executive

About the role

We are seeking a talented Purchasing Executive to join INVENTEC APPLIANCES (MALAYSIA) SDN. BHD. in Bayan Lepas, Penang. This is a full-time position that plays a critical role in our supply chain operations. As a Purchasing Executive, you will be responsible for sourcing, procuring and managing the acquisition of materials, components and services required for our manufacturing operations. This role is essential to ensuring we maintain optimal inventory levels, control costs and support our production schedules. You will work collaboratively with suppliers, internal departments and stakeholders to drive efficiency and value across our procurement function.

Key responsibilities

1. Conduct cost analysis and price comparisons for indirect goods, equipment, services, and projects across various departments to ensure cost-effectiveness.
2. Collaborate closely with internal departments to ensure all indirect procurement activities align with operational and business requirements.
3. Negotiate pricing, terms, and conditions with suppliers, and monitor order progress to ensure timely delivery.
4. Review and verify purchase requisitions, generate purchase orders upon approval, and place orders with approved vendors in accordance with company procedures.
5. Coordinate with vendors and the internal Legal Department on contract preparation, review, and execution.
6. Process supplier invoices in the procurement system upon completion of purchases, ensuring compliance with agreed payment terms and company policies.
7. Manage issues related to defective goods, equipment, project deliverables, or unsatisfactory vendor services, and work with suppliers to achieve timely resolution.

What we're looking for

1. Diploma or Bachelor's degree in Supply Chain Management, Business Administration, Engineering or a related field
2. At least 1 year of experience in a purchasing, procurement or supply chain role within the manufacturing or logistics sector
3. Strong knowledge of procurement processes, supplier management and inventory control
4. Proficiency in using procurement software, enterprise resource planning (ERP) systems and Microsoft Office applications
5. Excellent negotiation skills with the ability to achieve cost savings whilst maintaining quality and delivery standards
6. Strong analytical and problem-solving abilities to identify trends and optimize purchasing decisions
7. Excellent communication and interpersonal skills to collaborate effectively with internal and external stakeholders
8. Attention to detail and organizational skills to manage multiple purchase orders and suppliers simultaneously
9. Ability to work independently and as part of a team in a fast-paced manufacturing environment
