About the Role

TROPICAL FOOD RESOURCES (M) SDN BHD is seeking a full-time Purchasing Executive – Fresh Fruits to join our team in Subang 4, Selangor.

This role is responsible for sourcing and purchasing fresh fruits according to customer orders, stock requirements, quality specifications and market conditions. You will work closely with suppliers, farmers, importers, the Quality Control team, warehouse operations and sales departments to ensure that the right fruits are purchased at the right quality, quantity, price and delivery time.

As fresh fruits are highly perishable and market prices change frequently, the successful candidate must be commercially aware, responsive and capable of making accurate purchasing decisions while controlling costs, stock levels and wastage.

What You’ll Be Doing

• Source fresh fruits from local farmers, wholesalers, importers and overseas suppliers.
• Purchase fruits based on confirmed customer orders, sales forecasts, inventory levels and seasonal availability.
• Compare daily market prices, fruit quality, sizes, grades, origins and supplier offers before confirming purchases.
• Negotiate pricing, payment terms, delivery schedules, product specifications and supply arrangements with suppliers.
• Ensure all purchased fruits meet the company’s quality, food safety, size, grade, origin and packaging requirements.
• Coordinate closely with the Quality Control team regarding fruit condition, rejection, replacement and supplier claims.
• Monitor stock levels, fruit ageing and upcoming customer requirements to maintain sufficient supply while minimising overstock and wastage.
• Prepare and issue purchase orders and maintain accurate purchasing records, supplier quotations and supporting documents.
• Track purchase orders from confirmation until the fruits are received at the warehouse.
• Follow up with suppliers regarding shortages, delayed deliveries, quality issues, price discrepancies and product replacements.
• Build and maintain strong working relationships with farmers, importers, wholesalers and other fruit suppliers.
• Identify alternative suppliers and fruit origins to reduce supply risks and maintain stable availability.
• Monitor fruit seasons, weather conditions, import availability and market trends that may affect pricing, quality or supply.
• Conduct supplier performance reviews based on quality, pricing, reliability, delivery performance and responsiveness.
• Work closely with the Sales, Operations, Warehouse, Logistics and Finance teams to ensure purchasing plans support daily business requirements.
• Identify opportunities to improve purchasing costs, gross profit margins, stock turnover and procurement efficiency.

What We’re Looking For

• Diploma or Bachelor’s degree in Supply Chain Management, Procurement.
• Previous experience in purchasing, procurement, fresh produce, fruits, food distribution, wholesale, retail, hospitality supply or a related industry.
• Knowledge of fresh fruit varieties, grades, sizes, origins, seasons, storage conditions and quality standards is highly preferred.
• Strong negotiation skills and the ability to secure competitive prices without compromising fruit quality.
• Good understanding of inventory planning, stock ageing, product shelf life and wastage control.
• Ability to respond quickly to changes in customer orders, fruit availability, market pricing and quality conditions.
• Strong analytical, decision-making and problem-solving skills.
• Good attention to detail when reviewing quantities, prices, specifications and supplier documents.
• Good communication and interpersonal skills when dealing with suppliers and internal departments.
• Proficiency in Microsoft Excel, Microsoft Office and purchasing or ERP systems.
• Ability to manage multiple purchases and urgent requirements in a fast-paced working environment.
• Familiarity with local fruit suppliers, farmers, wholesale markets and importers in Malaysia would be an advantage.
• Willingness to communicate with suppliers outside normal office hours when urgent purchasing or supply issues arise.
• Able to communicate in English and Bahasa Malaysia. Mandarin or other Chinese dialects would be an added advantage when dealing with suppliers.
