Purchasing Executive

Key Responsibilities

1. MRO Purchasing

• Handle purchasing activities for MRO items including Machine Sparepart, Electrical Components, Mechanical Parts, Bearing, belts, chain & lubricants, Hand tools equipment, Safety/PPE, Maintenance consumables and office/factory consumables
• Review Purchase Requisitions (PR) and issue Purchase Orders (PO).
• Ensure materials are purchased according to specifications, quantity and required delivery dates.
• Follow up with suppliers to ensure timely delivery and avoid production or maintenance downtime.

2. Supplier Sourcing & Management

• Source and evaluate new suppliers for MRO materials and services.
• Maintain and develop an approved supplier database.
• Obtain and compare quotations from suppliers.
• Monitor supplier performance in terms of price, quality, delivery and service.
• Coordinate supplier evaluation and performance reviews where required.
• Develop alternative suppliers for critical or high-risk spare parts.

3. Cost & Negotiation

• Negotiate prices, payment terms, lead time, warranty and other commercial terms.
• Conduct price comparison and cost analysis before purchasing.
• Identify cost-saving opportunities through alternative suppliers, bulk purchasing and supplier consolidation.
• Monitor market prices and supplier pricing trends.
• Support annual cost reduction and procurement improvement initiatives.

4. Inventory & MRO Control

• Work closely with Maintenance, Engineering, Warehouse and Production to understand MRO requirements.
• Monitor stock levels, minimum/maximum stock and critical spare parts.
• Support appropriate safety stock and reorder levels.
• Avoid stock-out situations as well as excessive or obsolete inventory.
• Follow up on urgent/critical MRO requirements.

5. Maintenance & Engineering Coordination

• Work closely with Maintenance/Engineering teams to understand technical specifications.
• Purchase correct spare parts based on machine model, part number and technical requirements.
• Coordinate procurement of repair and maintenance services.
• Support planned and unplanned maintenance activities by ensuring required materials are available on time.

6. Documentation & System

• Maintain accurate PR, PO, quotation and supplier records.
• Update supplier and material information in the ERP/Purchasing system.
• Monitor open POs and outstanding deliveries.
• Ensure purchasing documents are properly maintained for audit purposes.
• Ensure purchasing activities comply with company procedures and approval authority.

7. Compliance & Audit

• Ensure procurement activities comply with company policies and procedures.
• Support internal, customer and external audits relating to purchasing and supplier management.
• Maintain proper documentation for supplier evaluation, quotation comparison and purchasing approval.
• Ensure ethical purchasing practices and avoid conflict of interest.
• Support RBA, ISO and customer audit requirements where applicable.

Job Requirements :-

• Diploma / Degree in Purchasing, Procurement, Supply Chain, Business Administration, Engineering or related field.

• Minimum 2–3 years' experience in purchasing/procurement, preferably in a manufacturing environment.

• Experience dealing with machine spare parts, engineering materials and maintenance suppliers will be an advantage.

• Good negotiation and supplier management skills.

• Good communication skills in English and Bahasa Malaysia. Mandarin speaking will be added as an advantage.

• Able to work under pressure and handle urgent purchasing requirements.
