PURCHASING EXECUTIVE

About the role

We are looking for a responsible, analytical and proactive Purchasing Executive to manage purchasing activities and ensure consistent product availability across our pharmacy outlets.

Key responsibilities

• Manage the end-to-end purchasing process, including sourcing, quotation comparison, negotiation, Purchase Order issuance and delivery follow-up.
• Ensure sufficient stock availability while minimising overstock, out-of-stock and slow-moving inventory.
• Negotiate competitive pricing, payment terms, rebates, promotional support and return arrangements with suppliers.
• Monitor supplier performance, delivery schedules, order fulfilment and product availability.
• Review stock movement, sales trends, minimum stock levels and purchasing requirements for all outlets.
• Coordinate closely with the Operations, Warehouse, Finance and Merchandising teams.
• Follow up on outstanding orders, short supplies, damaged goods and discrepancies.
• Monitor near-expiry and ageing stock and coordinate Return-to-Supplier (RTS), stock transfers or promotional clearance.
• Ensure product pricing remains competitive and aligned with the company's margin targets.
• Source new products and suppliers based on market demand and business requirements.

Requirements

• Diploma or Bachelor’s Degree in Purchasing, Supply Chain Management, Business Administration, Pharmacy or a related field.

• Minimum 2 years of relevant experience in purchasing, preferably within the pharmacy, healthcare, FMCG or retail industry.

• Good negotiation, analytical and supplier-management skills.

• Proficient in Microsoft Excel and familiar with inventory, POS or ERP systems.

• Able to analyse stock movement, sales trends and purchasing data.

• Detail-oriented, organised and able to manage multiple priorities and deadlines.

• Strong communication and problem-solving skills.

• Able to work independently while collaborating effectively with other departments.

• High level of integrity, accountability and urgency in completing tasks.
