PURCHASING EXECUTIVE

Job Responsibilities

• Manage purchase requisitions (PR) from various departments and ensure all requests are complete and properly approved.
• Source suppliers, obtain quotations, compare prices and evaluate suppliers based on quality, cost, delivery, payment terms and reliability.
• Prepare, issue and monitor purchase orders (PO) in accordance with company purchasing procedures and approval requirements.
• Negotiate pricing, payment terms and delivery arrangements to achieve cost savings and competitive purchasing rates.
• Monitor order status, supplier confirmations and delivery schedules to ensure timely fulfilment of purchasing requirements.
• Coordinate with Warehouse, Operations, QA/QC, Halal, Sales, Finance and other relevant departments to ensure smooth procurement operations.
• Monitor stock requirements and support replenishment planning to prevent stock shortages and overstock situations.
• Maintain and update the approved supplier list, supplier database and supplier performance records.
• Evaluate supplier performance, conduct market price comparisons and identify alternative suppliers when necessary.
• Verify supplier quotations, invoices and supporting documents, and resolve discrepancies before submission to Finance for payment processing.
• Ensure purchased goods meet the required specifications, quality standards, Halal certification and food safety requirements, where applicable.
• Maintain accurate purchasing records, documentation and audit trails for internal and external audit purposes.
• Ensure compliance with company procurement policies, approval procedures and ethical purchasing practices.
• Handle urgent procurement requests, resolve supplier-related issues and escalate potential delivery delays or supply disruptions to Management.
• Participate in procurement process improvements and perform other duties as assigned by Management.

Job Requirements

• Diploma or Bachelor's Degree in Purchasing, Supply Chain Management, Business Administration or a related field.
• Minimum 2–3 years of relevant experience in purchasing or procurement. Candidates with relevant experience in the food distribution, frozen food or FMCG industry will have an advantage.
• Strong negotiation, communication, analytical and problem-solving skills.
• Good knowledge of supplier sourcing, quotation comparison, purchase order management and inventory replenishment.
• Proficient in Microsoft Office, particularly Excel. Experience with ERP or purchasing systems will be an advantage.
• Detail-oriented, organised, proactive and able to work independently.
• Able to manage multiple priorities and meet deadlines in a fast-paced working environment.
• Good command of English and Bahasa Malaysia. Mandarin proficiency will be an advantage.

Pay: RM2,500.00 - RM4,000.00 per month
