Purchasing Executive

About the role

The Purchasing Executive coordinates the procurement, demand management, and import logistics of premium ceramic tiles, sanitary ware, and building materials. This role collaborates closely with the sales team to gather forecasts and manage demand requirements, while handling purchase orders, supplier relations, shipping arrangements, and stock records to ensure an uninterrupted, cost-effective supply chain.

Key responsibilities

• Prepare, verify, and process purchase orders (POs) for premium ceramic tiles, sanitary ware, and building materials based on demand requirements.
• Monitor order statuses closely from placement to manufacturing completion to ensure adherence to lead times.
• Coordinate with freight forwarders, shipping lines, and custom brokers to arrange inbound shipments.
• Oversee the preparation and accuracy of shipping documents, including Bills of Lading, Commercial Invoices, Packing Lists, and customs declarations.
• Maintain meticulous up-to-date data in the inventory management system for all incoming shipments, stock movements, and damages.
• Coordinate with warehouse supervisors to ensure timely replenishment of stock to the showroom floors for customer display.
• Collaborate regularly with the sales team to collect, compile, and analyse product sales forecasts and delivery schedules.
• Translate sales forecasts into actionable inventory requirements to prevent stockouts or overstocks.
• Maintain strong, professional relationships with regional and international manufacturers/suppliers.

About you

• Minimum 1 to 2 years of experience in a purchasing, procurement, or demand planning role. Fresh graduate is encouraged to apply.
• Fluent in Mandarin as suppliers are from China.
• Prior experience in building materials, building interior, premium sanitary ware, or ceramic tiles is highly advantageous.
• Proficient in Microsoft Office (Excel, Word) and the AutoCount system.
• Familiarity with inventory control concepts and translating sales forecasts into purchase requirements.
• Strong numerical skill sets to analyze stock levels, sales data, and market forecasts accurately.
• Organized, responsible and able to work independently.
• Diploma or Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, or a related field.
