Purchasing Officer

About the role

The Purchasing Officer will be responsible for sourcing, canvassing, purchasing, and monitoring the delivery of HVAC materials, tools, consumables, and other project-related supplies. The position will coordinate closely with the Engineering, Installation, Warehouse, and Finance Departments to ensure that required materials and tools are purchased on time, at competitive prices, and in accordance with project specifications.

Key responsibilities

• Source and canvass suppliers for HVAC materials, tools, consumables, and project supplies.
• Request and compare supplier quotations based on price, quality, availability, and delivery lead time.
• Purchase materials and tools based on approved Purchase Requests and project requirements.
• Coordinate with Project Engineers, Supervisors, and Technicians to clarify material specifications and requirements.
• Prepare and process Purchase Orders (POs), canvass sheets, and other purchasing documents.
• Negotiate with suppliers for competitive pricing, payment terms, discounts, and delivery schedules.
• Monitor the status of purchase orders and ensure timely delivery to project sites or the warehouse.
• Coordinate with the Warehouse Department regarding the receipt, quantity, and condition of delivered materials and tools.
• Maintain and update supplier records, price lists, quotations, and purchasing documentation.
• Develop and maintain good relationships with reliable suppliers.

About you

• Bachelor's degree in Supply Chain Management, Industrial Engineering, or a related field.
• At least 3 years of experience in purchasing, preferably involving HVAC materials, tools, construction materials, or engineering supplies.
• Knowledge of common HVAC installation materials, tools, consumables, and accessories is highly preferred.
• Experience in supplier canvassing, quotation comparison, price negotiation, and order monitoring.
• Good knowledge of Microsoft Office, particularly Excel.
• Strong negotiation, communication, and supplier coordination skills.
• Highly organized and detail-oriented, with good documentation skills.
• Ability to work under pressure and manage urgent project requirements.
• Willing to coordinate with suppliers and conduct supplier visits when necessary.
