Purchasing Officer - Pest Control

The Purchasing Officer is responsible for sourcing, purchasing, and ensuring the timely delivery of materials, equipment, chemicals, tools, uniforms, office supplies, and services required by the company's operations. The role ensures that procurement activities are cost-effective, compliant with company policies, and aligned with operational requirements while maintaining strong relationships with accredited suppliers

RESPONSIBILITIES:

Procurement Operations

• Process purchase requests from different departments in accordance with company policies.
• Source qualified suppliers and obtain competitive quotations.
• Evaluate supplier quotations based on price, quality, delivery schedule, and service.
• Prepare Purchase Orders (POs) and ensure proper approvals before issuance.
• Monitor the status of purchase orders until delivery is completed.
• Coordinate with suppliers regarding delivery schedules, order changes, and concerns.
• Ensure purchased items meet the required specifications and quality standards.

Supplier Management

• Develop and maintain a reliable supplier database.
• Conduct supplier performance evaluations on quality, cost, responsiveness, and delivery.
• Negotiate pricing, payment terms, and service agreements to achieve cost savings.
• Identify alternative suppliers to minimize supply risks.

Inventory Coordination

• Coordinate with Warehouse and Operations to monitor inventory levels.
• Ensure critical operational materials are replenished on time.
• Assist in forecasting procurement requirements based on operational demand.
• Prevent stock shortages and overstocking.

Cost Control

• Compare supplier pricing and recommend the most cost-effective options.
• Identify opportunities for procurement savings without compromising quality.
• Monitor procurement expenditures against approved budgets.

Documentation and Compliance

• Maintain complete and accurate procurement records.
• Ensure all purchasing activities comply with company policies and internal controls.
• Prepare procurement reports as required by management.
• Coordinate with Finance for invoice reconciliation and payment processing.

Cross-Functional Coordination

• Work closely with different departments  to ensure uninterrupted operations.
• Assist during audits by providing procurement documentation.
• Support special purchasing projects and operational requirements.

REQUIREMENTS:

• Bachelor's Degree in Business Administration, Supply Chain Management, Logistics, Industrial Engineering, Accountancy, or any related course.
• At least 5 years of experience in procurement, purchasing, or supply chain operations.
• Experience in service, facilities management, pest control, cleaning services, construction, or FMCG industries is an advantage.
