Purchasing - Senior Exec/ Assistant Manager

Key Responsibilities:

-Source and evaluate suppliers to ensure quality, cost-effectiveness, and compliance with halal requirements where applicable.

-Prepare and process purchase orders in accordance with company policies.

-Monitor stock levels and place orders as needed.

-Conduct market research to identify pricing trends, halal-certified supplier options, and new sourcing opportunities.

-Maintain professional relationships with existing suppliers, including halal-certified vendors.

-Evaluate supplier performance and resolve issues related to delivery, quality, or compliance with halal standards.

-Negotiate contracts, terms, and pricing to secure the best value.

-Track orders and ensure timely delivery of materials and equipment.

-Maintain accurate purchasing records, supplier documentation, halal certifications, and price lists.

-To ensure proper handling and storage of halal materials.

-Assist in developing procurement budgets and cost-saving strategies.

-Ensure all purchases comply with company policies, industry standards, and halal certification requirements when relevant.

-Identify and report potential risks within the supply chain, including halal compliance issues.

-Work closely with finance to verify invoices and resolve discrepancies.

-Coordinate with operations and other departments to understand purchasing needs, including halal-specific requirements.

-Support continuous improvement initiatives across procurement systems and halal compliance processes.

Requirements

-Bachelor’s degree in Hospitality Management, Business Administration, or any related field.

-Minimum 4 years of purchasing experience in the hospitality industry.

-Proven ability to independently manage the full spectrum of hotel purchasing, including sourcing, vendor management, price negotiation, procurement, inventory coordination, and contract administration.

-Good understanding of hotel operations and purchasing requirements across all departments, including Kitchen, F&B, Housekeeping, Engineering, and Front Office.

-Experience in halal purchasing, halal certification requirements, and working with halal-compliant suppliers is an added advantage.

-Strong knowledge of procurement best practices, cost control, inventory management, and supply chain principles.

-Excellent negotiation, communication, and vendor relationship management skills.

-Proficient in procurement systems and Microsoft Office applications.

-High level of integrity, attention to detail, and the ability to work independently while managing multiple priorities in a fast-paced hotel environment.
