PURCHASING STAFF

About the role

We are looking for a Purchasing Specialist to ensure all materials and packaging are available on time to support our growing business. You will be responsible for managing suppliers, negotiating competitive prices and terms, planning purchasing volumes based on upcoming demand, and maintaining a reliable supply chain while keeping costs under control.

Key responsibilities

• Create and issue Purchase Orders (PO) to suppliers, manufacturers, and contract manufacturers.
• Monitor delivery schedules and proactively follow up with suppliers to prevent delays.
• Plan and adjust purchasing volumes based on upcoming quarterly targets and demand forecasts, not only current monthly requirements.
• Source and compare at least 2–3 alternative suppliers for key materials and packaging items.
• Negotiate pricing, MOQ, payment terms, lead times, and other commercial conditions with suppliers.
• Renegotiate MOQ and pricing as purchasing volumes increase to achieve better cost efficiency.
• Maintain appropriate safety stock levels in collaboration with the Operations Lead.
• Maintain an accurate supplier database, including pricing, MOQ, lead time, contact details, and PIC information.
• Coordinate with QC during incoming goods inspections and resolve supplier-related quality issues when needed.
• Monitor supplier performance, including delivery reliability, pricing, quality, and responsiveness.

Qualification

• Minimum 1–2 years of experience in Purchasing, Procurement, Supply Chain, or a related field.
• Experience in purchasing raw materials, packaging, finished goods, or production-related materials is preferred.
• Strong supplier sourcing, negotiation, and vendor management skills.
• Good understanding of MOQ, lead time, payment terms, PO processes, and cost structures.
• Strong ability to negotiate pricing and commercial terms while maintaining good supplier relationships.
• Able to analyze purchasing needs based on demand forecasts, sales targets, and inventory levels.
• Strong attention to detail when handling prices, quantities, POs, and supplier data.
• Proficient in Microsoft Excel or Google Sheets for purchasing reports and data management.
• Strong communication and follow-up skills.
• Able to work with multiple suppliers and manage several purchasing requirements simultaneously.
