PURCHASING STAFF – JOB DESCRIPTION

Responsibilities:

• Source and evaluate suppliers for required products and materials.
• Request and compare quotations from different suppliers.
• Prepare and process Purchase Orders (POs) and other purchasing documents.
• Monitor purchase orders and ensure timely delivery of items.
• Coordinate with suppliers regarding availability, pricing, delivery schedules, and payment terms.
• Maintain accurate records of purchases, suppliers, quotations, and invoices.
• Ensure purchased items meet the required specifications and quality standards.
• Coordinate with internal departments regarding their purchasing requirements.
• Monitor inventory levels and assist in identifying items that need replenishment.
• Negotiate with suppliers to obtain competitive prices and favorable terms.
• Resolve issues involving incorrect, damaged, or delayed deliveries.
• Prepare purchasing reports and provide updates to management.
• Ensure purchasing activities comply with company policies and procedures.
