QUALIFICATIONS:

• Graduate of any Engineering course (Preferably Mechanical/Electrical Engineering)
• Preferably with at least one (1) year of experience as a Quality Assurance Engineer or has experience in internal auditing for building maintenance or building facility maintenance, with a strong background on property management.
• Knowledgeable in technical auditing, equipment maintenance, and property management.
• Preferably has completed a Certified IMS Internal Auditor course.
• Must have strong analytical, problem-solving, and documentation skills, with the ability to identify non-compliance issues and recommend appropriate corrective actions.

DUTIES AND RESPONSIBILITIES:

1. Maintenance Quality Assurance and Auditing

   1. Conducts quarterly maintenance audits of assigned properties to assess compliance with established maintenance procedures, business processes, and quality standards.
   2. Validates compliance with established PMO procedures and ensures that required procedures are audited at least twice a year per property.
   3. Reviews maintenance schedules and verifies their consistency with manufacturers’ operations and maintenance manuals, applicable local authority standards, and permitting requirements.
   4. Assesses the implementation of maintenance processes and equipment-related requirements against approved plans, specifications, and established business procedures.
   5. Proactively identifies potential quality issues, deficiencies, and maintenance-related risks, and recommends appropriate corrective actions to prevent recurrence.
   6. Reviews existing auditing procedures and recommends improvements based on previous performance and identified gaps.

2. Audit Findings and Non-Compliance Monitoring

   1. Encodes audit findings in the Quality Assurance System (QAS) during site verification and updates the findings daily within the prescribed verification period.
   2. Drafts Non-Compliance Reports (NCRs) for submission to the QA Officer or Manager for review.
   3. Discusses audit findings with the Property Manager and ensures proper acknowledgment and sign-off.
   4. Escalates disputed or rebutted audit findings to the immediate superior for appropriate action.
   5. Issues action items for audited construction processes when gaps or areas for improvement are identified.
   6. Monitors and documents audit findings to support the timely resolution of identified deficiencies.

3. Audit Reporting and Documentation

   1. Prepares and releases maintenance audit reports within nine (9) days from the start of the audit.
   2. Releases process audit reports within four (4) days from the release of the maintenance audit report.
   3. Maintains complete and accurate records of audit findings, non-compliance reports, and other relevant quality assurance documents.
   4. Ensures timely documentation and reporting of audit results in accordance with established quality assurance procedures.

4. Coordination and Continuous Improvement

   1. Coordinates with Property Managers and other concerned personnel regarding audit findings, compliance issues, and required corrective actions.
   2. Communicates audit findings related to safety management to the Construction Managers of the assigned projects, as applicable.
   3. Reviews the effectiveness of existing audit procedures and recommends improvements to enhance compliance and audit performance.
   4. Identifies opportunities to minimize company losses arising from premature wear and tear through the early detection of maintenance deficiencies and non-compliance issues.
