QA System Specialist

Position Summary:

• The QA System Specialist serves as the primary quality assurance liaison between customers and the Sales Team, managing the technical and documentation aspects of customer relationships. The role is responsible for ensuring the timely and compliant handling of quality-related inquiries, customer questionnaires, and product sample requests, while coordinating effectively with relevant internal teams to support customer requirements and maintain quality standards.

Key Responsibilities:

• Customer & Sales Support: Primary QA contact for customer inquiries and requests raised by Sales; coordinates with Sales, Production, and QA to resolve quality and specification concerns.
• Documentation & Compliance: Manages customer document requests from receipt to submission; prepares, reviews, and coordinates completion of customer questionnaires and compliance forms; collaborates with QA, Production, R&D, and other departments to gather accurate technical data.
• Sample Coordination: Oversees preparation and shipment of customer product samples; handles sample requests, approvals, labeling, documentation (e.g., COA, MSDS), and dispatch arrangements.
• System & Data Management: Uses SAP and Microsoft Excel to track requests, monitor status, and generate reports; maintains organized digital records of all customer-related QA correspondence.

Job Qualification:

• Education: Bachelor's degree in Food Technology, Biology, Chemistry, Microbiology, Pharmacy, or related science field.
• Experience: Experience in QA, Customer Service, or Technical Support (food manufacturing background is a plus); experience with customer-facing documentation or regulatory compliance forms is highly desirable.
• Technical Skills: Proficient in Microsoft Excel (VLOOKUP, Pivot Tables, data analysis) – required; familiarity with SAP (QM or SD modules) – preferred.
• Soft Skills: Excellent written and verbal communication; strong organizational and time-management skills; detail-oriented with high accuracy in documentation; collaborative, able to coordinate across multiple departments.
