Job Summary

Support the Quantity Surveyor (QS) by preparing quotations, maintaining project records, managing supplier communications, updating costing sheets, and assisting with reporting and administrative tasks to ensure accurate project cost control and documentation.

Responsibilities

Prepare, format, update, and issue quotations based on approved pricing to support QS project cost management

Maintain accurate project records including quotations, drawings, contracts, variation orders (VO), and other documentation

Request and follow up on supplier and subcontractor quotations while maintaining updated contact lists

Prepare purchase orders according to approved QS requests and budget allocations

Update project costing sheets using data from invoices, purchase orders, and subcontractor claims to reflect current financial status

Prepare and maintain variation order (VO) records, ensuring all approval documents are properly filed and accessible

Update quotation status, project progress records, and track outstanding documents to support project monitoring

Assist QS in preparing weekly costing, quotation, and project status reports for management review

Manage filing, email correspondence, follow-ups, data entry, and other administrative tasks to support QS operations

Perform additional duties as assigned
