This individual will identify errors, missing information, inconsistencies, and potential compliance issues, communicate with phlebotomists and internal team members to resolve deficiencies, and help improve the overall quality and efficiency of our services.
The ideal candidate has strong attention to detail, excellent organizational skills, and the ability to identify problems before they affect patients, clients, or business operations.

- Review mobile phlebotomy submission forms for accuracy, completeness, and compliance with company requirements.
- Verify that required fields, patient and appointment information, collection details, timestamps, and other applicable documentation are completed correctly.
- Identify missing information, incorrect entries, inconsistencies, illegible documentation, and incomplete submissions.

- Flag incomplete or incorrect submissions and follow up with phlebotomists to obtain corrections.
- Track outstanding submissions and ensure deficiencies are resolved in a timely manner.
- Confirm that corrected forms meet company standards before marking them as complete.
2. Phlebotomist Performance & Documentation Monitoring
- Monitor the quality and consistency of documentation submitted by mobile phlebotomists.
- Identify recurring mistakes, documentation deficiencies, and opportunities for improvement.
- Maintain records of submission errors and quality-related issues.
- Provide constructive feedback and communicate documentation requirements to phlebotomists.
- Escalate repeated errors, unresolved issues, or significant quality concerns to management.
3. Compliance & Standard Operating Procedures
- Ensure documentation follows Speedy Sticks' established procedures and applicable client requirements.
- Help maintain adherence to applicable privacy, confidentiality, specimen-handling documentation, and recordkeeping requirements.
- Identify potential compliance risks and escalate concerns to the appropriate manager.
- Help ensure that required documentation is handled securely and only accessed by authorized personnel.
- Support the consistent implementation of company quality standards and procedures.
4. Specimen Collection & Service Quality
- Review applicable collection records to identify documentation discrepancies or missing collection-related information.
- Verify that required specimen collection, handling, packaging, and shipping documentation is completed when applicable.
- Identify and report documented issues involving specimen labeling, specimen integrity, processing, packaging, or transportation.
- Help investigate service complaints, collection-related incidents, and documentation errors.
- Escalate potential specimen integrity or patient safety concerns promptly to management.
5. Quality Reporting & Recordkeeping
- Maintain organized records of reviewed submissions, identified errors, corrections, and unresolved issues.
- Prepare regular quality assurance reports summarizing submission accuracy, error trends, recurring deficiencies, and outstanding corrections.
- Track quality metrics, including submission completeness, error rates, correction turnaround times, and recurring issues.
- Maintain quality tracking spreadsheets, internal systems, and other company reporting tools.
- Assist management in identifying areas where additional training, process improvements, or corrective action may be necessary.
6. Process Improvement & Team Support
- Recommend improvements to submission forms, documentation workflows, and quality control procedures.
- Help develop and update quality assurance checklists, internal guidelines, and standard operating procedures.
- Assist with training and educating phlebotomists on proper documentation and submission requirements.
- Collaborate with scheduling, operations, management, and other departments to resolve quality-related issues.
- Perform additional quality assurance and operational support duties as assigned.

- Ability to manage multiple priorities, meet deadlines, and follow established procedures.
- Ability to handle confidential patient information responsibly.
- Healthcare administration, medical records, laboratory, phlebotomy, or quality assurance experience is preferred but not required, depending on the candidate's qualifications.
Preferred Qualifications

- Familiarity with mobile phlebotomy workflows and laboratory requisitions.
- Understanding of HIPAA privacy and security requirements.
- Experience tracking errors, maintaining quality reports, and identifying operational trends.
