What they need
Position Summary
The Quality Systems & Compliance Coordinator keeps the quality management system (QMS) running day to day and safeguards the organization's ISO 9001 certification. This role administers the internal audit program and document control, manages supplier quality and compliance activities, and coordinates the administrative side of quality and improvement projects. It also serves as the cross-trained backup to the Quality Manager, providing continuity of the QMS and certification during any absence.
This is a hands-on systems-and-compliance role for someone organized, analytical mindset, detail-driven, and comfortable owning recurring processes and deadlines with the support of digital tools (SharePoint-based workflows, automated reminders, and dashboards). Success looks like an audit program that runs on schedule, controlled documents that stay current, suppliers held to standard, and a certification that is never dependent on a single person.
Primary Roles & Responsibilities
Internal audit program — Schedule, coordinate, and help lead the internal audit program; consolidate findings and track corrective actions to closure.
Document control — Administer document control including versioning, review cycles, approvals, controlled-document distribution, and obtaining evidence of review by relevant personnel.
ISO 9001 compliance & audits — Maintain ISO 9001 certification evidence; support conformance to the standard; coordinate registration, surveillance, corporate, and customer audit logistics and follow-up.
Compliance training — Manage quality related training program and conduct quality compliance training (Onboarding, updated compliance related procedures, and annual refresher trainings )
Management Review — Prepare materials and data for Management Review meetings; record decisions and actions and track them to closure.
Supplier quality — Conduct supplier evaluations; coordinate with Purchasing to maintain the Approved Supplier List (ASL); monitor supplier performance and issue monthly scorecards; coordinate supplier-side readiness (samples, certifications) for new products in support of the Project Manager.
Supplier corrective actions — Issue and track supplier corrective action requests (SCARs) through to resolution.
Quality-system reporting — Maintain the quality-system reports and ERP (SyteLine) queries used for compliance and corporate reporting; keep quality records accurate and audit-ready.
Project coordination — Provide administrative coordination for compliance and supplier related quality improvement projects (schedules, task tracking, status reporting); support new-product-introduction.
Backup Quality Manager — Serve as cross-trained backup to the Quality Manager, covering core QMS and certification responsibilities during absences using documented playbooks.
Records & calibration support — Support calibration/gage-system records and monitoring as needed; keep quality records accurate and audit-ready.
Communication — Communicate status and issues clearly and proactively to management and stakeholders.
Qualifications & Education Requirements
- Associate's or Bachelor's degree in a technical, quality, or business field (preferred), or equivalent work experience.
- 3 or more years in a quality, compliance, or quality-systems role within a manufacturing environment.
- Working knowledge of ISO 9001 (internal audits, document control, corrective action); experience supporting certification or surveillance audits.
- Experience with supplier quality (evaluations, ASL, SCARs) and/or internal auditing.
