Quotation & Client Services Executive

About the role

We are seeking a detail-oriented individual to be the first point of contact for our clients and to manage our quotation and contract documents. This role is office-based and does not involve outdoor marketing, cold-calling or sales targets.

Key responsibilities

• Prepare, issue and track quotations for consultancy services
• Review previous quotations, cost records and fee schedules to benchmark pricing before submission
• Issue job sheets and coordinate with technical teams to monitor jobs through to completion
• Attend to client enquiries by phone, email and walk-in; respond promptly and follow through until resolved
• Maintain the quotation register and follow up on pending or expiring quotations
• Prepare consultancy service agreements and contracts occasionally
• Review Letters of Award (LOA), consultancy agreements and supporting documents before execution
• Update and maintain the company profile, credentials and corporate documents
• Design proposal covers and format the front matter of proposals and reports

About you

• Degree in Marketing, Business Management/Administration, Science or a related field
• Minimum 5 years' experience in client servicing, quotation preparation, tendering or contract administration; Good written and spoken English and Bahasa Malaysia
• Strong numerical accuracy and attention to detail
• Organised, responsive, and able to handle confidential pricing information with discretion
• Proficient in Microsoft Word, Excel and PowerPoint
• Proficiency in Mandarin or Chinese dialects, for liaising with Chinese-speaking clients (added advantage)
• Working knowledge of Canva, Adobe InDesign, Illustrator or Photoshop for cover and layout design (added advantage)
• Prior experience in an architecture, engineering, science or construction consultancy (added advantage)
