Job Summary

We are looking for a detail-oriented and customer-focused Quotation Associate to join our team in Davao City. The successful candidate will be responsible for preparing accurate and competitive quotations, coordinating with suppliers and internal teams, and providing timely support to customers and the sales team.

This role requires strong attention to detail, analytical skills, effective communication, and the ability to work efficiently under pressure and meet deadlines.

Key Responsibilities

• Prepare accurate and competitive quotations based on customer inquiries, specifications, and requirements.
• Coordinate with suppliers and internal teams to verify product availability, pricing, costs, and delivery lead times.
• Review customer requests and ensure all specifications, terms, conditions, and pricing are clearly understood before preparing quotations.
• Ensure quotations comply with company policies, pricing structures, and applicable procedures.
• Communicate with customers to clarify requirements and address questions or concerns regarding quotations.
• Provide timely responses and follow up on pending quotations and customer inquiries.
• Assist the sales team in responding to customer requests and supporting sales opportunities.
• Maintain an organized and updated database of quotations for monitoring and future reference.
• Monitor the status and conversion of quotations into orders and sales.
• Coordinate with Finance, Procurement, Supply Chain, and other relevant departments regarding pricing, credit limits, payment terms, product availability, and delivery schedules.
• Conduct pricing analysis and provide recommendations to support competitive quotations.
• Review and verify quotations for accuracy before submission to customers.
• Prepare final quotations and make necessary revisions based on customer requirements and approval.
• Maintain proper documentation and records of quotations in accordance with company procedures.
• Provide additional information and clarification regarding quotations as needed to support business opportunities.

Qualifications

• Bachelor's degree in Business Administration, Marketing, or any related field.
• With at least 1–2 years of experience in quotation preparation, sales support, or a related role.
• Strong knowledge of pricing strategies, sales processes, and product specifications.
• Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
• Experience with quotation software or ERP systems is an advantage.
• Excellent attention to detail and accuracy.
• Strong written and verbal communication skills.
• Good organizational and time-management skills.
