  • Maintain accurate, organized records of received, active, pending, and completed bid opportunities.
  • Monitor bid deadlines and help ensure projects are routed and communicated on time.
  • Communicate new information, revisions, addenda, and changes to active bids to all assigned team members.
  • Coordinate questions, discrepancies, missing information, and document issues with internal teams or project contacts.
  • Maintain consistent processes for document organization, project intake, assignment, and bid tracking.

Miscellaneous Item Quoting

  • Review project documents and keyed notes to identify miscellaneous, supporting, and ancillary materials requiring quotation.
  • Determine the appropriate disposition of miscellaneous products, whether quoting them directly or routing them to inside sales or other specialists.
  • Prepare basic quotes for miscellaneous and ancillary items using established pricing and vendor sources, under the direction of a Quotations Specialist or manager.
  • Request pricing and availability from vendors for assigned items.
  • Perform additional administrative, coordination, and project-support duties as assigned.

Desired Knowledge/Skills/Abilities Include:

  • High school diploma or equivalent; associate’s degree or technical training preferred.

  • Strong attention to detail and accuracy.
  • Effective communication and coordination skills.
