This position manages administrative systems, documentation, and communication to ensure smooth and efficient center operations. The ideal candidate is organized, proactive, and deeply familiar with the Center’s programs and culture—bringing hands-on experience and a commitment to excellence in serving youth and families in a faith-based, mission-driven environment.

Key Responsibilities

Administrative Support & Coordination

  • Provide direct administrative support to the Director of Operations and assist with daily workflow, scheduling, and correspondence.
  • Maintain the center’s master calendar, staff schedules, and facility usage requests.
  • Prepare meeting materials, take minutes, and track action items for follow-up.
  • Assist with communication between internal departments, vendors, and community partners.
  • Draft and distribute internal memos, announcements, and reports as directed.

Operational & Financial Support

  • Track operational expenses, prepare purchase requests, and ensure timely invoice processing.
  • Maintain accurate records of supply inventories and assist in ordering, receiving, and distribution.
  • Support grant documentation, budget tracking, and program reporting processes as assigned.
  • Coordinate logistics for staff onboarding, trainings, and compliance documentation.

Customer Service & Front Office Support

  • Greet and assist visitors, parents, and partners in a warm, professional, and faith-centered manner.
  • Manage phone, email, and walk-in inquiries and ensure follow-up to appropriate team members.
  • Maintain an organized, welcoming, and efficient reception and administrative area.

Recordkeeping & Compliance

  • Maintain filing systems (digital and hard copy) for operational records, contracts, and compliance documentation.
  • Support the Director of Operations with required reporting for grants, licensing, and safety audits.
  • Protect confidentiality of youth, families, and staff in alignment with RCCYC policies.

Team & Mission Support

  • Provide administrative assistance to center-wide events, youth programs, and volunteer activities as needed.
  • Model RCCYC’s core values of excellence, compassion, accountability, and faith in all interactions.
  • Support a culture of teamwork, communication, and continuous improvement.

Qualifications

  • High school diploma or equivalent required; some college coursework preferred but not required.
  • Minimum 3–5 years of progressively responsible administrative or operational experience, preferably in a nonprofit, youth development, or community center setting.
  • Demonstrated success coordinating multiple priorities, managing documentation, and supporting large-scale program operations.
  • Strong organizational and time management skills with attention to detail.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and adaptable to new software systems.
  • Excellent written and verbal communication skills.
  • Professional, approachable demeanor with the ability to build positive relationships with staff, parents, volunteers, and partners.
  • Commitment to the mission and faith-based values of Eastern Star Church and the ROCK Community Center for Youth & Children.

Work Environment
