Rugby World Cup Australia (RWCA) is proud to deliver one of the world’s most iconic sporting events — Men’s Rugby World Cup 2027. More than a tournament, it’s a celebration of Rugby’s spirit, Australia’s culture, and the power of sport to unite and inspire communities around the world.

Rugby World Cup Australia is seeking a Readiness Coordinator to join our Sydney-based team. Reporting to the Readiness Manager, you will support with the planning and execution of the Readiness Program, helping to deliver readiness exercises, simulations, and testing activities across the tournament. This is an exciting opportunity for a highly organised and proactive professional looking to build their experience in major event operations, program coordination and operational readiness within a fast-paced, collaborative environment.

Working closely with our Functional Areas (across all departments), and key external stakeholders including host cities, venues and governments, you will provide logistical support in the organisation, set up and management of all readiness related activities including managing schedules to maximise stakeholder engagement. You will also support with developing key materials and program documentation used for facilitating activities and tracking outcomes. Success in this role will come from your ability to build strong stakeholder relationships, manage competing priorities and maintain attention to detail, ensuring all teams are prepared for successful tournament-time delivery.

Key responsibilities include but are not limited to:

  • Support the planning, coordination and delivery of the Readiness Program, ensuring activities are executed in line with program timelines and delivery frameworks.
  • Coordinate logistical requirements for the readiness exercises, simulations, rehearsals, match and non-match tests.
  • Prepare and maintain presentations, exercise materials, agendas, scenarios, participant communications and supporting documentation to enable effective readiness activities.
  • Maintain accurate program records, action logs, trackers, contact databases and shared files, ensuring information remains current, organised and accessible.
  • Work with Functional Areas, departments and external stakeholders to gather inputs, confirm requirements, monitor progress and drive the completion of readiness actions.
  • Monitor program milestones, operational risks and lessons learned, providing reporting and follow-up support while delivering on-the-day assistance for readiness events and exercises.

Qualifications & Experience

  • Minimum 1 year of experience providing administrative, operational or logistical support within a fast-paced team, project or program environment.
  • Exceptional organisational skills with strong attention to detail and the ability to effectively manage multiple tasks, competing priorities and deadlines.
  • Excellent written and verbal communication skills, with the ability to communicate professionally across a range of internal and external stakeholders.
  • Demonstrated ability to build collaborative working relationships, follow up actions and coordinate information across multiple stakeholder groups.
  • Strong document management and administrative capabilities, including maintaining accurate trackers, schedules, presentations, reports and shared records.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook and Teams, with the ability to produce high-quality materials and reporting.
  • Proactive, solutions-focused and adaptable mindset, with experience supporting meetings, workshops or events and the judgement to escalate issues when required.
  • Flexible and adaptable approach, with the ability to work outside of standard business hours and travel as required.
