Receptionist & Digital Support Coordinator

About the role

You will be the friendly face of Carlile Dowling, a long-established Hawke's Bay law firm. This role combines front-of-house reception with digital support responsibilities, offering variety and the opportunity to work with modern office systems. For the right candidate, there is also the opportunity to help with website updates, social media, marketing, and basic AI/technical tasks.

Key responsibilities

• Greeting clients and managing reception
• Handling calls via the digital phone system
• Mail, couriers, scanning and general admin
• Meeting room scheduling and diary support
• Ordering stationery and office supplies
• Assisting with file opening/closing and archiving
• Supporting Deeds, Wills and client ID processes
• Helping with website updates, adverts and social media posts
• Assisting with firm events and functions

About you

• Warm, professional and confident with people
• Highly organised with strong attention to detail
• Comfortable with technology and willing to learn
• A great communicator who enjoys a busy role
• Reception or admin experience is helpful, but attitude and professionalism matter most
