Receptionist

The first point of contact for all visitors, guests and staff entering the office. The position is responsible for providing a friendly and professional reception service, supporting daily office administration, and ensuring the office and common areas are clean, tidy and well maintained. The position will also work closely with the HR Department and Office Cleaner to ensure the smooth running of the office.

Key responsibilities

• Greet and welcome all visitors, guests and staff in a friendly and professional manner

• Attend to incoming calls and direct them to the relevant person or department

• Receive and assist visitors and inform the relevant staff when they arrive

• Handle incoming and outgoing mail, courier and document deliveries

• Keep the reception desk and lobby clean, neat and presentable at all times

• Manage the day-to-day administrative operations of the office

• Maintain proper and systematic soft copy and hardcopy filing

• Develop and maintain an efficient documentation and filing system

• Coordinate incoming calls, emails and courier assignments

• Coordinate and arrange meetings and appointments when required

• Maintain a professional and pleasant manner when dealing with staff, visitors and external parties

• Keep all company and staff information confidential

• Be responsible, punctual and well organised

• Work well with HR, Management, staff and the Office Cleaner
