Client Services Representative / Veterinary Receptionist

Indian Prairie Animal Hospital is seeking a dependable, compassionate, and customer-focused Client Services Representative / Veterinary Receptionist to join our team.

This is a permanent, year-round position for someone who enjoys working with both people and animals in a fast-paced veterinary hospital. As a Client Services Representative, you will be one of the first points of contact for our clients and play an important role in creating a welcoming, professional, and efficient experience.

The ideal candidate is friendly, outgoing, organized, dependable, comfortable multitasking, and able to remain professional during busy or emotionally sensitive situations.

Key Responsibilities

• Greet clients and patients warmly and professionally.
• Answer incoming phone calls and assist with scheduling, general questions, prescription requests, and client communication.
• Schedule and coordinate appointments while supporting efficient hospital workflow.
• Process payments, invoices, estimates, and deposits accurately.
• Maintain accurate client and patient records within veterinary software.
• Communicate effectively with veterinarians, technicians, receptionists, kennel staff, and clients.
• Assist with appointment flow and keep clients informed of updates or delays.
• Handle client questions and concerns professionally and compassionately.
• Complete administrative duties including scanning, filing, emailing, and record management.
• Maintain a clean, organized, and welcoming reception area.
• Support other hospital departments as needed to ensure excellent patient care and client service.

Qualifications

• Previous customer service experience required.
• Previous veterinary reception or animal hospital experience preferred, but not required.
• Strong verbal and written communication skills.
• Excellent organization and attention to detail.
• Ability to multitask and prioritize responsibilities in a fast-paced environment.
• Ability to remain calm, professional, and compassionate under pressure.
• Comfortable using computers, multi-line phone systems, and software programs.
• Dependable with strong attendance and punctuality.
• Ability to work independently and as part of a team.
• Comfortable working around dogs, cats, and other animals.
• Comfortable with the medical and emotional aspects of veterinary medicine.

Monday: 7:00 AM – 8:00 PM
Tuesday: 7:00 AM – 6:00 PM
Wednesday: 7:00 AM – 6:00 PM
Thursday: 7:00 AM – 8:00 PM
Friday: 7:00 AM – 6:00 PM
Saturday: 7:00 AM – 12:30 PM
Sunday: Closed

Schedule & Availability Requirements

• Saturday availability is mandatory and non-negotiable.
• Applicants must be available to work AM and PM
• Applicants must be able to work within our posted hospital business hours based on scheduling and staffing needs.
• Reliable attendance and punctuality are essential.
• Flexibility to assist with additional shifts when needed is preferred.
• If you are unable to work Saturdays or closing shifts, please do not apply.

Year-Round Availability Required

We are NOT accepting seasonal, summer-only, temporary, or short-term applicants at this time.

This position requires consistent, year-round availability. Applicants who are returning to school and are only available during the following are strongly encouraged not to apply:

• Summer break
• Holiday breaks
• School vacations
• Temporary periods between semesters
• Limited 3–4 hour availability windows
