Receptionist

Welcome and greet walk-in visitors professionally

Register visitors and maintain accurate visitor records

Attend to incoming calls and direct calls to the appropriate person or department

Handle basic enquiries and provide general information

Direct visitors to the appropriate person, department or waiting area

Manage and maintain the discussion room schedule

Manage and maintain the meeting room schedule

Arrange appointments and meeting room bookings

Ensure discussion rooms and meeting rooms are properly prepared before use

Receive and record incoming materials, goods, documents, couriers and parcels

Notify the relevant staff or department upon receipt of deliveries

Keep the reception area, waiting area, discussion areas, discussion rooms and meeting rooms clean, tidy and presentable

Monitor the availability of basic reception and meeting room supplies

Assist with basic administrative tasks, filing and data entry when required

Assist with printing, photocopying, scanning and document preparation when required

Support open houses, property launches, company events and event registration when required

Assist in coordinating visitor flow during events, meetings or busy periods

Maintain confidentiality of visitor and company information

Report any facility, equipment or maintenance issues relating to the reception and meeting areas

Perform other ad hoc duties as assigned by management from time to time
