Key Responsibilities
- Greet visitors, vendors, and guests at the corporate office in a professional and welcoming manner.
- Answer, screen, and direct incoming calls to the appropriate department or team member.
- Manage the front desk and reception area, keeping it organized and presentable.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Provide general administrative support to corporate departments (HR, Accounting, Operations, Leadership) as needed, such as filing, data entry, and document preparation.
- Assist with scheduling and coordinating meetings, conference rooms, and calendars.
- Order and maintain office supplies and coordinate with vendors for office equipment/maintenance.
- Assist with onboarding logistics for new corporate hires (e.g., preparing workstations, badges, welcome materials).
- Support HR or leadership with special projects, mailings, or event coordination as requested.
- Maintain confidentiality of sensitive company and employee information.
- Perform other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; some college coursework preferred.
- Prior experience in a receptionist, administrative assistant, or office support role preferred.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook); comfortable learning internal systems (e.g., Paycom).
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
- Professional, friendly demeanor with strong customer service orientation toward internal staff and outside visitors.
- Ability to handle confidential information with discretion.
