- Follow up with prospective patients to help convert enquiries into booked appointments.
- Proactively contact existing patients who have not booked their next appointment or have missed scheduled visits.
- Support patient retention and continuity of care in line with practitioner recommendations.
- Handle conversations about treatment costs, payment arrangements and booking commitments confidently and professionally.
Appointments & Administration
- Manage appointment bookings, rescheduling, cancellations and patient follow-ups.
- Maintain an organised appointment diary to support efficient clinic operations and practitioner availability.
- Keep patient records accurate and up to date, ensuring clear communication between patients and practitioners.
- Process payments, deposits and treatment plan schedules accurately.
- Assist with daily administrative tasks, opening and closing procedures and general reception duties as required.
- Maintain a clean, tidy and professional reception area.
Clinic Performance & Growth
- Contribute to agreed clinic targets relating to patient engagement, appointment bookings, retention and treatment plan uptake.
- Monitor follow-up activity and identify opportunities to re-engage patients and improve booking conversion.

- Maintain patient confidentiality and handle sensitive information in accordance with data protection requirements.
- Follow clinic procedures relating to health and safety, safeguarding and professional conduct.
- Recognise when patient concerns or clinical questions should be referred to a chiropractor.
- Communicate effectively with colleagues to ensure the smooth running of daily operations.
- Take ownership of responsibilities, maintain high standards and contribute to a positive, team-oriented working environment.
Experience & Skills
Essential:
- Previous experience in a receptionist, front-of-house, customer service or other patient-facing role.
- Excellent communication and interpersonal skills, with a friendly, confident and professional manner.
- Strong organisational skills and attention to detail.
