What they need
We are looking for a talent to be the welcoming face of our Conference Centre — combining premium guest service, front-desk professionalism, and confidence working with AV equipment, smart/IoT meeting-room technologies to create seamless experiences for our internal teams and external guests.
Key Responsibilities
Guest Experience & Front-of-House Hospitality
- Serve as the welcoming first point of contact on the Conference Centre floor, creating a warm, professional, and polished impression for every guest and visitor
- Deliver attentive, anticipatory service that ensures a smooth, comfortable, and high-quality experience for internal teams and external clients alike
- Greet, host, and assist meeting organisers and attendees — guiding them to their rooms and ensuring their needs are met throughout their visit
- Handle enquiries, requests, and feedback graciously and efficiently
Reception & Booking Coordination
- Manage meeting room and event booking enquiries with a service-first approach, handling room allocation, scheduling, and set up requirements seamlessly
- Coordinate with the operations team to ensure each function room is prepared to the highest standard — including seating arrangements, catering, AV, and post-event restoration
- Act as the central point of contact for guests, anticipating requirements and personalising the experience wherever possible
Meeting Technology & On-Site Support
- Provide attentive, hands-on support before and during physical, virtual, and hybrid meetings — assisting guests with presentation setup, screen sharing, audio/video connections, and any technical needs
- Operate and provide first-level support for AV systems, video conferencing, digital displays, and smart, IoT-enabled room technologies
- Conduct pre-meeting readiness checks to ensure every space and device is fully prepared, so guests enjoy a flawless, worry-free experience
- Monitor technology performance and resolve issues promptly
Service Standards & Environment
- Conduct regular floor and room inspections to ensure all meeting spaces, equipment, furnishings, and common areas are immaculate, fully functional, and guest-ready at all times
- Maintain the polished, professional ambience expected of a premium conference environment
Coordination & Administration
- Liaise with internal IT, facilities, and operations teams, as well as external vendors, to ensure service delivery is uninterrupted
- Maintain accurate records of bookings, user requests, event requirements, equipment usage, and technical issues
- Manage inventory of meeting supplies, consumables, and AV accessories, ensuring the floor is always well-stocked and presentation-ready
- Perform supporting administrative duties including document preparation, reporting, and filing
Requirements
Bachelor's degree in Hospitality Management, Business Administration, or a related field.
2-5 years' experience in administration or reception operations within the hospitality or conference facilities sector.
