Receptionist Cum Account Assistant [ AR ]

Receptionist:

Greet and attend to visitors in a courteous and professional manner.

Understand visitors’ needs and direct them to the appropriate person or department.

Ensure the reception area is adequately covered during periods of absence.

Offer refreshments to visitors when appropriate.

Follow up with customers on daily collection arrangements.

Organize and prepare completed items from Production for customer collection.

Update the status of Work Orders on a daily basis.

Account Receivable:

Prepare and issue sales invoices, debit notes, cash sales receipts, and delivery orders.

Respond to customer enquiries relating to invoices, billing matters, and supporting documents.

Manage and resolve e-invoice submission issues to prevent late charges, duplicate invoices, and billing discrepancies.

Retrieve and download purchase orders from customer portals for billing and reference purposes.

Update billing information on delivery orders and ensure all completed delivery orders are properly invoiced.

Maintain and organize sales invoices, delivery orders, purchase orders, and other relevant billing documents.

Scan and maintain Work Orders for the Sales Department, including both local and overseas orders.

Prepare updates and reports on outstanding billing and delivery order issues for follow-up.

Coordinate with the Sales, Production, and other relevant departments to resolve billing and documentation issues.

Perform other administrative and ad-hoc duties as assigned.
