What they need

Receptionist - Orthodontics

Join our team at Embrace Orthodontics and be a part of a dynamic team committed to making a difference in our patients' lives! Our aim is to provide orthodontic care in a warm and caring environment at every stage of the patient's journey.

You will be responsible for the first impressions and ongoing outstanding customer experience. We want you to come in and truly show what great customer service is, right from the very first moment.

You must be able to thrive in an environment where new technologies are a constant and professional development is a focus. This role will have administrative and clinical duties but we prefer to see your head up, not down; to build relationships, not transactions.

To be a great promoter of our brand, you’ll need to be highly organised, with excellent communication and love working in a fast paced environment, have a love for creating efficient processes and a genuine passion for ensuring every team member is delivering the very best service experience. You’ll be confident and experienced in coaching fellow team members to perform their best and be open to being coached by others.

Key Responsibilities

  • You will be the first point of contact in the clinic for patients and their families, so a warm approachable manner is a must.
  • Book appointments for new and existing patients
  • Help create and maintain the processes and culture that exude customer service excellence, quality and efficiencies
  • Work closely and ensure smooth communication and processes
  • Complete administrative tasks with accuracy including financial contracts (payment plans paperwork) and chart entries
  • Manage phone and email enquiries
  • Maintain and update manuals as required
  • Report regularly to the Principal Orthodontist
  • Dental assisting chair side and sterilisation as a secondary role (no experience necessary). Not only will this help you provide excellent service to our patients, but it will also help you answer any questions you may receive at the reception. Plus, you'll enjoy a great team dynamic, and feel confident knowing that you can step up to support your colleagues should someone be on leave.

About You

  • You’re great at building rapport with both children and adults.
  • You have good attention to detail and a love of following through tasks to completion
  • You have demonstrated experience interacting with fellow team members and thrive off working in this environment.
  • You’re not afraid of ticking off those routine processes that must be completed daily and thrive on organisation
  • You understand that first impressions count, so you have impeccable personal hygiene, appearance and are well groomed
  • The opportunity to work with others who truly want to see the business
    succeed
  • A great team and culture who laugh and celebrate every day
  • A supportive leadership team committed to your continual training and
    development.
  • An opportunity to impact the future growth of the business
  • Experience in a dental clinic if preferred but not required. Previous experience in an administration/customer service role will be highly regarded.

Working Hours

  • Monday - Friday
  • 8.15am - 5pm

If this sounds like you, please apply with your cover letter and CV. In your cover letter, answer this riddle: what has to be broken before you can use it? We look forward to hearing from you!
