What they need
Position Summary
The Regional Site Manager is the operational conduit between Pioneer’s practice sites and central administration, clinically and clerically. Assigned to a defined territory of practice sites (“Region”), the Regional Site Manager is the organization’s boots on the ground: translating strategy into daily operations, carrying the needs and realities of the sites back to leadership, and making sure every site in the region runs smoothly from opening to closing.
Reporting directly to the Vice President of Clinical Operations, the Regional Site Manager supports both strategy and operations. They lead the Site Managers in their region, work collaboratively with peer Regional Site Managers, and partner with physician and administrative leadership. A core part of the role is identifying best practices at high-performing sites and spreading them across the network, optimizing the workflows that drive the operational and financial performance of the organization.
The Regional Site Manager models Pioneer’s five keys, in order: Safety, Kindness, Excellence, Belonging, and Empowerment.
Key ResponsibilitiesOperations Leadership
Operational oversight. Serve as the on-site operational resource for the region, providing support and resources so sites run smoothly from open to close, and resolving challenges as they arise in daily operations.
Conduit between sites and central administration. Communicate organizational strategy, policies, and initiatives to sites, and bring site-level issues, barriers, and feedback back to leadership. Support the rollout and adoption of organization-wide initiatives across the region.
Best practice identification and sharing. Observe high-performing sites, identify what drives their results, and replicate those practices across the region and network in partnership with other Regional Site Managers.
Workflow optimization and continuous improvement. Apply Lean Six Sigma or other quality improvement methods to identify opportunities, streamline processes, and improve efficiency, with attention to workflows that affect both operations and finances.
Daily schedule and onsite presence. Set daily coverage schedules for the region and maintain a consistent physical presence at assigned sites. The Regional Site Manager is expected to be in person daily at one of their assigned practice sites or the Pioneer corporate office.
Patient Experience and Clinical Quality
Patient experience. Ensure each site delivers an exceptional, patient-centered experience, and promptly address patient concerns and complaints.
Clinical quality and patient care. Collaborate with the Vice President of Clinical Operations and the Director of Population Health to uphold and improve clinical quality standards and value-based care performance across the region.
Compliance. Oversee site adherence to regulatory requirements, internal policies, and quality assurance standards.
Provider Partnership
Site Medical Director and Site Manager relationship. Facilitate a strong working partnership between the Site Medical Director and Site Manager at each site, helping align clinical and operational priorities.
Physician and APP support. Work with physicians and advanced practice providers to understand their needs and ensure they have the staff, workflows, and resources to deliver effective patient care.
People Leadership
Site Manager leadership and development. Oversee the hiring, onboarding, and training of Site Managers. Evaluate performance, provide regular feedback, and support professional growth.
Staffing support. Partner with Site Managers to maintain appropriate staffing levels and support them in managing staff-related matters.
Train the trainer. Train Site Managers and staff, building a culture of continuous learning and development.
Systems and Revenue Cycle
EMR superuser. Serve as a superuser for the electronic medical record (eClinicalWorks), supporting staff, troubleshooting issues, and promoting efficient and accurate use.
Billing, demographics, and front office operations. Maintain a working knowledge of billing, registration, and front office processes to ensure accurate data capture, clean billing, and smooth patient flow.
Collaboration
Administrative team participation. Attend monthly administrative meetings and weekly direct report meetings with the Vice President of Clinical Operations and other key stakeholders.
Value-based care partnership. Collaborate with the Director of Population Health, other Regional Site Managers, and Site Managers to ensure cohesive operations and support for Pioneer’s value-based care programs, including Agilon/Paradigm.
