Duties

• Manage the scheduling and dispatching of payroll mail using vehicle dispatch software and transportation management systems such as Oracle Transportation Management and SyteLine
• Coordinate with internal teams to ensure accurate data entry and timely delivery of payroll materials via road transportation operations
• Oversee shipping & receiving processes, ensuring all payroll mail is properly prepared, labeled, and sent according to schedule
• Communicate effectively with courier services and drivers via multi-line phone systems and phone call management tools to track shipments and resolve issues promptly
• Maintain detailed records of all dispatched mail, including inbound and outbound logs, incident reports, and shift documentation
• Ensure compliance with DOT (Department of Transportation) regulations during dispatching activities and adhere to safety standards in logistics operations
• Provide excellent customer service by addressing inquiries related to payroll mailing status and internal communication needs with professionalism and clarity
• Must have a color printer as of time you are applying.

Experience

• Proven experience in logistics, supply chain management, or transportation planning preferred
• Familiarity with GIS (Geographic Information Systems) and GPS technology for route optimization is a plus
• Strong knowledge of transportation management systems such as Oracle Transportation Management or similar platforms like SyteLine
• Experience with vehicle dispatch software and freight/shipping & receiving procedures
• Excellent organizational skills with the ability to manage multiple tasks efficiently in a remote setting
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data entry, reporting, and communication purposes
• Strong analysis skills for troubleshooting dispatch issues and optimizing mailing routes
• Exceptional communication skills—both written and verbal—and phone etiquette for internal coordination and courier interactions
• Ability to follow DOT regulations diligently while managing freight shipments in a fast-paced environment

Pay: $25.41 - $32.61 per hour
