Reservations Agent

About the role

Varel Singapore is seeking a passionate and service-oriented Reservations Agent to support the Rooms Division in delivering a seamless and personalized booking experience for every guest. This role is highly guest-focused and plays an important part in creating positive first impressions by ensuring reservations are handled accurately, efficiently, and with genuine care.

Key responsibilities

• Manage guest reservations, amendments, cancellations, and inquiries through telephone, email, online platforms, and other booking channels.
• Provide accurate and detailed information on room types, rates, packages, promotions, hotel facilities, and services to assist guests in making informed booking decisions.
• Handle reservation requests professionally and efficiently while maximizing room occupancy and revenue opportunities.
• Ensure all reservation details are accurately entered and maintained in the Property Management System, such as Opera or equivalent.
• Proactively identify guest preferences, special requests, and occasions, ensuring relevant information is communicated to the appropriate departments for follow-up.
• Assist guests with pre-arrival arrangements and coordinate closely with Front Office, Concierge, Housekeeping, and other departments to ensure a smooth and personalized stay.
• Recommend suitable room types, packages, and additional services based on guest needs while applying effective upselling techniques.
• Respond promptly and courteously to guest inquiries, concerns, and special requests, ensuring a high level of service throughout the reservation process.
• Monitor room inventory and reservation activity, escalating any discrepancies, overbooking concerns, or unusual requests to the appropriate management team.
• Handle payment and guarantee procedures accurately in accordance with hotel standards and policies.

About you

• Fresh graduates are welcome to apply; prior experience in Reservations, Front Office, Guest Services, or a hotel environment is an advantage.
• Familiarity with Property Management Systems such as Opera or equivalent is preferred.
• Basic computer proficiency with the ability to navigate reservation systems, email, internet resources, and other relevant platforms.
• Strong command of English with excellent written and verbal communication skills.
• Confident and professional when communicating with guests through telephone, email, and face-to-face interactions.
• Strong attention to detail with excellent organizational and administrative skills.
• Able to multitask effectively and remain composed in a fast-paced hospitality environment.
• Customer-focused with a genuine passion for creating personalized and memorable guest experiences.
• Strong problem-solving and interpersonal skills, with the ability to handle guest requests and concerns professionally.
• Commercially aware with an interest in upselling rooms, packages, and hotel services where appropriate.
