RESERVATIONS SUPERVISOR

JOB SUMMARY:

The Reservations Supervisor is to supervise the Reservations Agents and ensure they are answering telephone inquiries in a friendly and courteous manner, and employ sales techniques in order to secure and process reservations for guest accommodations in a timely manner. The reservations supervisor will also ensure the high standards of Four Diamonds will be upheld with all agents for every call.

POSITION AUTHORITY:

The incumbent is authorized to take reasonable action necessary to carry out assigned duties and responsibilities, provided such action is consistent with position guidelines as outlined below.

POSITION GUIDELINES:

Position guidelines include, but are not limited to, established company and department policies and procedures and all supervisory directives.  The incumbent is expected to exercise sound, reasonable judgment and initiative, and give high priority to accuracy and detail in the performance of job responsibilities.

ESSENTIAL FUNCTIONS:

• Know the types of rooms the hotel has, as well as their locations and layouts.

• • Familiarize yourself with all hotel packages, including their statuses, rates, and benefits.-

• Update the availability of all distribution channels, such as GDS, OTA, and web booking systems.-

• Respond to inquiries from guests, travel agents, and referral networks regarding reservations made by mail, telephone, fax, or through a central reservation system.-

• Create and maintain reservation records, prepare confirmation letters, and promptly process cancellations and modifications.-

• Process reservations received via mail, telephone, telex, cable, fax, or central reservation systems.

• • Handle reservations originating from the sales office, other hotel departments, and travel agents.
• • Understand the hotel's credit policy and appropriately code each reservation.
• • Process advance deposits for reservations.
• • Track future room availability based on existing reservations.
• • Assist in developing forecasts for room revenue and occupancy.
• • Aid in preregistration activities when applicable.
• • Monitor advance deposit requirements.
• • Manage daily correspondence.
• • Respond to inquiries and make reservations as needed.
• • Keep files updated.
• • Maintain a clean and organized appearance and work area at all times.
• • Promote goodwill by being courteous, friendly, and helpful to guests, managers, and fellow employees.
• • Be willing to undertake any reasonable requests made by management in other areas of the hotel as necessary.
• • Open and close availability as required across all GDS platforms. channels, and on the hotel website

• Configure rates on the hotel’s property management system

• Any other duties as assigned; duties are subject to change as management deems necessary to best serve the needs of Moody Gardens

EDUCATION/ EXPERIENCE REQUIREMENTS:

• High School diploma preferred
• Call center experience preferred

REQUIRED SKILLS:

• Must be reliable and responsible
• Computer literate preferred
• Typing skills preferred
• Must have a clear speaking voice
• Multitasking skills preferred
• Individual should be well organized, possess excellent written and oral communication skills, work well under pressure, and utilize a friendly and courteous manner.

PHYSICAL REQUIREMENTS:

• Must be able to sit for long periods of time
• Ability to work in a confined space
