What they need

Position Overview

Desert Horizon Residential Care is seeking a compassionate, organized, and service-oriented Resident Services Coordinator to support resident and family communication, service coordination, administrative follow-up, and care-related workflows.

This role serves as an important connection between residents, families, caregivers, administrative staff, and facility leadership. The Coordinator helps ensure resident requests are documented, communicated, and followed through while maintaining a professional and supportive experience for residents and their families.

The ideal candidate is an empathetic communicator with strong organizational skills who can manage multiple requests, maintain accurate records, and coordinate effectively with residential care teams in a remote administrative capacity.

Key Responsibilities

Resident Services Coordination

  • Serve as a primary administrative contact for resident and family service requests.
  • Receive, document, and route resident concerns, questions, and requests to the appropriate team member.
  • Track service requests from initial submission through resolution.
  • Follow up with residents and families to confirm that administrative requests have been addressed.
  • Maintain organized records of resident service activities and communications.

Family Communication

  • Communicate professionally and compassionately with residents' family members and authorized representatives.
  • Provide routine administrative updates regarding appointments, activities, schedules, and service requests.
  • Coordinate calls, virtual meetings, and follow-up communications.
  • Escalate clinical, safety, or urgent concerns to appropriate facility leadership rather than attempting to resolve matters outside the role's scope.

Service & Appointment Coordination

  • Coordinate resident appointments, transportation requests, activities, meetings, and other scheduled services as assigned.
  • Maintain accurate calendars and service schedules.
  • Communicate schedule changes to residents, families, caregivers, and relevant staff.
  • Monitor upcoming appointments and follow up on outstanding coordination requirements.
  • Assist with organizing resident activities and engagement initiatives.

Administrative Support

  • Maintain accurate resident records within electronic systems.
  • Update contact information, service notes, schedules, and administrative documentation.
  • Prepare resident correspondence, notices, reports, and service summaries.
  • Track outstanding administrative tasks and follow-up items.
  • Assist with maintaining organized electronic files and documentation.

Resident Experience

  • Promote a respectful, responsive, and resident-centered service experience.
  • Monitor recurring resident service concerns and communicate trends to leadership.
  • Assist with resident satisfaction surveys and feedback collection.
  • Help coordinate initiatives designed to improve resident engagement and satisfaction.
  • Maintain professionalism and empathy when handling sensitive situations.

Team Collaboration

  • Work closely with caregivers, nurses, administrators, activity staff, social services personnel, and facility leadership.
  • Coordinate information between residents, families, and internal teams.
  • Participate in administrative meetings and service-improvement initiatives.
  • Help ensure resident requests are directed to the appropriate department.
  • Perform additional administrative duties as assigned.

Qualifications

Required

  • High school diploma or equivalent.
  • 1–3 years of experience in resident services, senior living, healthcare administration, customer service, social services, hospitality, case coordination, or a related field.
  • Excellent verbal and written communication skills.
  • Strong organizational and follow-up abilities.
  • Compassionate and professional approach to resident and family interactions.
  • Ability to handle confidential and sensitive information appropriately.
  • Strong attention to detail and documentation skills.
  • Ability to manage multiple requests and deadlines.
  • Proficiency with email, Microsoft Office or Google Workspace, electronic records, scheduling systems, and virtual communication tools.
  • Ability to work independently in a remote environment.

Preferred

  • Associate's or Bachelor's degree in Healthcare Administration, Human Services, Social Work, Business Administration, Gerontology, or a related field.
  • Experience in assisted living, residential care, skilled nursing, memory care, behavioral health, or senior living.
