What they need
Position Summary
The Residential Program Coordinator assists with the day-to-day operation, organization, staffing, supervision, and monitoring of Tariro, LLC's residential group home. The Coordinator serves as a management presence in the residence, supports DSP performance, monitors implementation of approved individual service instructions, and helps ensure the home remains safely staffed and operational. This is a working supervisory position. The Coordinator must also be prepared to perform DSP duties when necessary to maintain safe staffing coverage.
Essential Duties and Responsibilities
- Provide day-to-day direction, support, and oversight to DSP staff within authority delegated by the Executive Director or Program Director.
- Monitor staff attendance, punctuality, call-outs, shift coverage, completion of assigned duties, required supervision, and professional conduct.
- Conduct routine house walkthroughs and identify safety, cleanliness, staffing, documentation, or operational concerns.
- Review progress notes and other routine service documentation for completion, accuracy, timeliness, and consistency with services provided; return incomplete documentation for appropriate correction without backdating or falsification.
- Ensure staff are following each individual's current approved ISP, Part V support instructions, risk-management strategies, medical protocols, behavioral supports, supervision requirements, and other authorized instructions.
- Monitor completion of routine ADL supports, community participation, household responsibilities, health/safety monitoring, and shift-to-shift communication.
- Report significant changes in an individual's health, behavior, functioning, risks, or support needs to the Executive Director or Program Director for appropriate follow-up.
- Assist with staff coaching, retraining, routine performance feedback, and communication of program expectations. Formal disciplinary action remains subject to Tariro management authority.
- Immediately report serious incidents, allegations of abuse, neglect or exploitation, injuries, hospitalizations, medication concerns, missing-person events, and other significant health or safety concerns in accordance with Tariro procedures.
- Assist with medical appointments, transportation coordination, household supplies, emergency preparedness, and other residential operations as assigned.
- Maintain confidentiality, professional boundaries, individual rights, dignity, privacy, and person-centered practices.
Staffing Coverage and DSP Backup Responsibilities
Maintaining safe shift coverage is an essential function of this position. When a DSP calls out, is absent, leaves unexpectedly, or an open shift otherwise occurs, the Residential Program Coordinator is responsible for promptly attempting to secure qualified replacement coverage and communicating the staffing issue to management.
- Contact appropriately trained and authorized staff to seek coverage in accordance with Tariro's staffing procedures.
- Do not place an unqualified or inadequately trained person on a shift merely to fill a vacancy.
- If qualified replacement coverage cannot be secured, the Coordinator is expected to work the uncovered DSP shift when directed and when qualified to perform the required duties.
- Remain on duty or ensure appropriate relief when leaving would create inadequate staffing or place an individual at risk.
- Maintain reasonable schedule flexibility for evenings, overnight shifts, weekends, holidays, and emergency coverage based on residential program needs.
Direct Support Duties When Covering a DSP Shift
When functioning as a DSP, the Coordinator is responsible for the applicable direct-support duties of the assigned shift, including:
- Providing required supervision, monitoring, safety checks, and person-centered support.
- Implementing current approved ISP/Part V instructions, risk supports, behavioral supports, and individual routines.
- Assisting with ADLs and personal care, including bathing, grooming, dressing, toileting, meals, laundry, and housekeeping supports as required.
- Supporting community activities and transportation when assigned and authorized.
- Completing progress notes, shift documentation, health/safety documentation, and other required records.
- Administering medications only when properly trained, authorized, and assigned to do so.
- Performing specialized supports only after required training and competency have been completed for the applicable individual and task.
- Following emergency, incident-reporting, medical, behavioral, and safety procedures.
Authority and Limits of the Coordinator Role
The Residential Program Coordinator is an operational and supervisory support position. The Coordinator does not replace the Executive Director or Program Director and has only the authority specifically delegated by Tariro, LLC.
- The Coordinator DOES NOT approve Initial Assessments, Comprehensive Assessments, reassessments, Individual Support Plans (ISPs), ISP revisions, Part V plans, or other documents requiring designated programmatic approval.
- The Coordinator DOES NOT independently develop, change, authorize, or approve an individual's outcomes, support instructions, supervision level, medical orders, behavioral plan, risk-management requirements, or plan of care.
- The Coordinator may review approved plans to monitor staff implementation, identify concerns, provide factual information, and report recommendations or changes in need to the Executive Director or Program Director.
- The Coordinator may participate in meetings when requested but shall not sign as the approving authority for assessments or ISPs.
- Final hiring, termination, formal disciplinary decisions, regulatory responses, major program decisions, and other authority reserved by Tariro management remain with the Executive Director and/or designated management.
- The Coordinator has NO access to Tariro, LLC's live or recorded surveillance-camera system. Camera-system access is restricted to the Executive Director.
Minimum Qualifications
- Must meet all qualifications, background checks, orientation, training, and competency requirements applicable to the duties assigned.
- Must have appropriate developmental-disability service experience and supervisory qualifications when performing formal DSP supervision.
- Must be capable of performing DSP duties and completing required direct-support training before independently covering applicable shifts.
- Must demonstrate effective communication, documentation, organization, problem-solving, leadership, and professional judgment.
- Must maintain required CPR/First Aid and other training or certifications applicable to assigned responsibilities.
- Must be able to respond appropriately to emergencies and safely perform the essential functions of the position, with reasonable accommodation where applicable.
