What they need

Archway is partnering with an essential service provider to recruit two experienced rostering specialists. These roles sit at the centre of a complex 24/7 operation, helping ensure frontline teams are appropriately resourced to deliver critical services across the region.
These are initially 12 month fixed term positions, with the potential for longer-term opportunities, and based in-office in Wellington CBD.

About the Role
Reporting to the Team Leader Payroll and Rostering, this position is much more than traditional administration. You will combine rostering coordination, systems administration, data management, stakeholder engagement and process improvement in a busy operational environment.
You will work closely with operational leaders, payroll, frontline teams and the wider People and Capability function. Key responsibilities include:

  • Preparing and publishing operational rosters
  • Managing annual leave schedules and maintaining accurate leave information
  • Monitoring daily shift coverage and assisting with sickness and absence requirements
  • Coordinating overtime availability and supporting callback processes
  • Maintaining accurate workforce and rostering data
  • Working with managers to resolve complex rostering issues
  • Supporting workforce planning and continuous improvement initiatives
  • Contributing to future enhancements across Optima, Loop, HR and payroll processes

This is an excellent opportunity to contribute to systems and process improvements while supporting an organisation that provides an essential public service.

About You
This role will suit an experienced rostering or workforce coordination professional who enjoys solving operational problems and building strong stakeholder relationships.
You will ideally bring:

  • Previous rostering or workforce planning experience within a complex 24/7 or shift-based environment
  • A strong understanding of shift work, workforce logistics and rostering processes
  • Confidence working with rostering systems, data and Microsoft Office applications
  • Excellent attention to detail and the ability to manage competing priorities
  • Strong analytical and problem-solving skills
  • Clear communication and the ability to develop trusted relationships with managers and operational teams
  • A proactive approach to process improvement
  • Experience working with collective employment agreements would be advantageous

Candidates with relevant experience across payroll, HR systems administration or operations coordination are also encouraged to apply. Previous people leadership experience would be well regarded but is not essential.

The Benefits
This position offers the opportunity to have a direct impact on a critical frontline service while developing broader experience across rostering, workforce planning and systems improvement.
You will also benefit from:

  • An initial 12 month fixed term opportunity with the possibility to continue beyond the fixed term
  • Exposure to complex, high-volume rostering within a 24/7 environment
  • The opportunity to contribute to workforce technology and process improvements
  • Flexible start and finish times
  • Potential for one work-from-home day per week once fully established in the role

New starters will initially be office-based while learning the position and building relationships with the operational teams they support.
