Sales Admin Assistant

Key responsibilities

• Report directly to Sales Account Manager
• Answer incoming calls and emails
• Process customer orders and update the Work Order List; broadcast relevant details to all respective departments
• Verify Purchase Orders (POs) from customer portals; ensure accuracy of pricing, quantities, delivery dates, and special instructions
• Prepare Delivery Orders (DOs), invoices/e-invoices, and credit notes
• Ensure all billing documents are complete, accurate, and filed based on financial year
• Monitor and track customers' payment matters; follow up on outstanding invoices and payment discrepancies
• Prepare and send monthly Statements of Account (SOA) to customers
• Prepare packing lists and coordinate with forwarders/customers on shipping arrangements and documentation
• Perform other ad hoc duties as assigned

About you

• Min. GCE N/O Levels
• Accounting experience is preferable
• Sound knowledge in MYOB accounting software
• Proficient in Microsoft Excel, Word
• Good interpersonal and communication skills
• Ability to perform multitasking
