Sales Admin

About the role

We are seeking a Sales Admin to join JIN AUN PHARMA SDN. BHD. in our Butterworth Penang office on a full-time basis. This role is crucial to the smooth operation of our sales department, providing essential administrative support that directly impacts our sales team's effectiveness and client satisfaction. You will be the backbone of our sales operations, ensuring that all processes run efficiently and that our clients receive exceptional service at every touchpoint.

What you'll be doing

1. Managing and maintaining accurate sales records, documentation, and databases
2. Processing orders, invoices, and quotations with precision and attention to detail
3. Coordinating communication between sales team members and clients to ensure seamless transactions
4. Scheduling meetings, appointments and follow-ups for the sales team
5. Handling client inquiries and providing administrative support to resolve queries promptly
6. Maintaining organised filing systems both physical and digital for all sales-related documents
7. Supporting the sales team with administrative tasks to enable them to focus on client relationships and business development
8. Liaising with other departments to ensure smooth coordination of sales activities
9. Assisting with inventory and stock information management as required

What we're looking for

1. Proven experience in a sales administration or client administration role, preferably within the similar working role
2. Strong organisational skills with the ability to manage multiple tasks simultaneously and meet deadlines
3. Excellent communication skills, both written and verbal, with proficiency in English and Malay
4. Proficiency in Microsoft Office applications, particularly Excel and Word
5. Meticulous attention to detail and commitment to maintaining accuracy in all documentation
6. Customer service orientation with the ability to build positive relationships with clients and internal stakeholders
7. Ability to work independently and as part of a collaborative team
8. Diploma or Certificate in Business Administration, Office Management, or a related field is preferred
